This Privacy Policy describes how PocketTech, Inc. ("PocketTech", "we", "us") collects, uses, shares, and safeguards information when you use the PocketTech field service management platform (the "Service"), including its optional integrations with third-party services such as Intuit QuickBooks Online.
1. Information We Collect
We collect information you provide directly: name, email, company name, mobile phone numbers (where provided for SMS notifications), and any data you enter into the platform (customers, jobs, invoices, etc.). We also collect usage data such as pages visited, features used, and device information.
2. How We Use Your Information
We use your information to provide and improve the Service, process payments, send transactional emails and SMS messages (appointment confirmations, invoices, notifications), and communicate with you about your account. We do not sell your data to third parties.
3. Data Storage and Security
Your data is stored on secure servers with encryption at rest and in transit. We use industry-standard security practices including regular backups, access controls, and monitoring. File uploads are stored in AWS S3 with encryption.
4. Third-Party Services
We use the following third-party services to operate PocketTech:
- Stripe — payment processing. Stripe's privacy policy governs payment data.
- Resend — transactional email delivery.
- Twilio — SMS / text message delivery to end users who have opted in.
- AWS S3 — file storage (photos, documents).
- Intuit / QuickBooks Online — optional accounting integration. See section 5 below.
These services only receive the minimum data necessary to perform their function.
5. QuickBooks Online Integration
PocketTech offers an optional integration with Intuit QuickBooks Online ("QuickBooks") so businesses using the Service can sync financial records between PocketTech and their QuickBooks company. The integration is enabled only when a customer explicitly authorizes it through Intuit's OAuth 2.0 consent flow.
Data shared with Intuit. When the integration is enabled, PocketTech transmits the following data from your PocketTech account to your authorized QuickBooks company: customer records (name, billing address, email, phone), vendor records, invoices and invoice line items, estimates, purchase orders, and payment records. We do not transmit end-user mobile phone numbers, SMS opt-in data, technician GPS location, photos, or job notes to Intuit.
Data received from Intuit. PocketTech reads the following from your QuickBooks company to enable the integration: company information (for connection verification), the chart of accounts (for invoice mapping), and identifiers returned for entities created or updated by PocketTech.
Storage. PocketTech stores the OAuth access token, refresh token, and your QuickBooks Realm ID encrypted at rest in our database. We do not store a local copy of your QuickBooks general ledger. Tokens are refreshed automatically and revoked when you disconnect.
Purpose. Data is exchanged with Intuit solely to keep PocketTech and QuickBooks in sync for the purposes you authorized — bookkeeping, invoicing, and financial reporting. We do not use QuickBooks data for advertising, profiling, or any purpose unrelated to the integration.
Your control. You may disconnect the QuickBooks integration at any time from Settings → Accounting Integration inside PocketTech, or by removing PocketTech from My Apps in your QuickBooks Online account. Upon disconnection, PocketTech immediately stops syncing data and revokes the stored tokens. Historical sync logs are retained for 30 days for troubleshooting and then deleted.
Intuit's handling of your data. Once data is transmitted to Intuit, it is governed by Intuit's Global Privacy Statement. PocketTech is not responsible for Intuit's handling of data after it leaves our systems.
6. SMS / Text Message Communications
PocketTech enables HVAC service businesses ("Customers") to send transactional SMS messages to their end-user customers ("End Users") through the platform. This section describes how mobile information is handled.
Consent. End Users opt in to receive SMS messages directly from the HVAC business they are doing business with — through that business's web forms or through the PocketTech customer portal. Phone numbers are only added to messaging lists after affirmative, written consent.
Message types. Messages are transactional and account-related, including appointment confirmations, technician en-route alerts, appointment reminders, estimate and invoice notifications, and payment confirmations. We do not send promotional or marketing messages through this channel.
Message frequency. Message frequency varies based on the End User's appointments and account activity.
Costs. Message and data rates may apply, depending on the End User's mobile carrier plan.
Opt-out. End Users can opt out at any time by replying STOP to any message received, or by adjusting SMS preferences in the customer portal. Replying HELP returns contact information for support.
No sharing of mobile information for marketing. No mobile information, including phone numbers and opt-in data, is shared with third parties or affiliates for their marketing or promotional purposes. Information sharing with subprocessors (such as Twilio, our SMS delivery provider) is limited to the operation of the messaging service itself and is governed by their respective privacy policies.
7. Cookies
We use essential cookies for authentication and session management. We do not use third-party tracking cookies or advertising pixels.
8. Data Retention
We retain your data for as long as your account is active. If you cancel your account, your data will be retained for 30 days and then permanently deleted. You can request immediate deletion by contacting us.
9. Your Rights
You have the right to access, correct, export, or delete your data at any time. Contact us at info@thepocket.tech to exercise these rights.
10. Children's Privacy
PocketTech is not intended for use by individuals under 18 years of age. We do not knowingly collect data from children under 13.
11. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of material changes via email. Continued use of the Service constitutes acceptance of updated terms.
